The GST portal is like your Instagram profile. The government keeps the record of businesses in India, covering every shop's, factory's, and e-commerce seller’s profiles. But here, the business profiles must be updated as per the law. The GST portal treats all changes differently. Some are easy to go with, like changing a status update. And some are really big, like changing the legal name of your business. So, the government splits these changes into two parts: core and non-core fields.

The "Easy Stuff" (Non-Core Fields)

Non-core fields are like your profile picture that does not make a huge difference. Simply put, these changes keep the DNA of your business the same.

  • Mobile Numbers: Your business needs may require you to get a new SIM card.
  • Email Addresses: Scaling business or marketing may need you to switch from Gmail to a fancy business email.
  • Stakeholder Details: It is the case of replacing an old partner or stakeholder with the new one(s).

The Best Part: These changes should be reflected on the portal. But you don’t need special permission for them. Simply input the new details and verify them with a secret code (OTP), and the system will automatically update them instantly. 

The "Big Stuff" (Core Fields)

The core fields are legally necessary to update. Because these details are crucial, the government officer audits the enclosed proofs and then approves the changes before they actually reflect on the portal. 

  • Legal Name: For example, changing the legal business name from "Arjun’s Retail Shop" to "Super Cool Retailer".
  • Principal Place of Business: Shifting commercial offices from one place to another, like from Delhi to Mumbai.
  • Additional Places of Business: If you scale and open a second or third shop.

How to Change the Easy Stuff (Non-Core)

Now, the question is how to update non-core details like a new high-speed internet connection and a new business email. Here is how to get started with the GST updates. 

  1. Check In the Portal: Go to gst.gov.in and enter your username and password.
  1. Navigate to the Edit tab: Follow this sequence to reach the place where you can edit: Services > Registration > Amendment of Registration Non-Core Fields.
  2. Update Email ID: Click on the "Authorised Signatory" tab and feed the existing email ID.
  3. Update Contact Details: Hover your cursor over the "Edit" button next to your name. Input the new email and phone number.
  4.  Verify via OTP: Authenticate by feeding the code. The system will send a code to your old email and a code to your new one. This step adds a layer of security, ensuring a hacker isn't trying to steal your account.
  5. Send for Approval: Once you are done with changes and verification, click "Save" and "Submit with DSC". Your profile is now fresh and updated.

How to Change the Big Stuff (Core)

For core updates, you should focus on the process to fill out the portal. As the changes are in your corporate address, the competent authority wants concrete proof proving that you have actually shifted your corporate office.

  • Scan Address Proofs of the New Office: You can arrange a rent agreement or a property tax receipt to enclose as proof of your new office. 
  • Access Core Fields: Here is how to navigate the tabs: Services > Registration > Amendment of Registration Core Fields.
  • The "Principal Place" Tab: This tab allows you to input your new address details, including the postcode and the district.
  • Upload Proofs to Verify: Now, upload the scanned PDFs of the address proof for authentication. Double-check before uploading whether the documents are clearly legible. Otherwise, they need scanning again.
  • The Waiting Game: As you submit, a jurisdictional officer approves it. This authentication takes about 7 to 15 days to verify your documents.
  • The "Approval" Email: Once the officer finds every detail correct and authentic, he will approve your request. You receive the confirmation via an email that says “Amendment Successful". This is how you can re-download the new GST certificate with a new address on it.

Why You Can't Just Ignore It

Entrepreneurs often ask why they should care about that update and approval from the government. Well, it is necessary to pay attention to this aspect according to many GST consulting firms because of these reasons:

  • Tax Invoices: The difference in the address of the portal and the address printed on your invoices is a concern. The tax department might become suspicious about your business. 
  • Important Notices: The government has gone paperless now. So, it prefers sending emails instead of letters. So, ensure that your email ID is not wrong. Otherwise, you might miss deadlines and owe millions of rupees in penalties.
  • Trust: Dealing with big companies needs a GST number. A minor address mismatch may lead to order cancellation. The dealer also loses trust and earns reputational damage.
